Technical Services Checklist

This page describes the steps to be taken to prepare new items for circulation:

Books

  1. Check if item has barcodes already attached. If not:
    • Place one barcode on upper right of first page inside cover
    • Place one barcode on back cover, in the upper right, and cover with label seal
  2. Give item to staff member responsible for cataloging
  3. Once item has been cataloged, create and print spine labels
  4. Attach spine labels
  5. Attach relevant stickers for genre/new shelf/volume number if necessary
  6. Attach any other labels as needed
  7. Property stamp title page, page 25 with 'Red Oak Public Library' stamp
  8. Use the Red Oak Library address stamp to stamp the title page of the book
  9. Stamp first page with date stamp for the day the item was received
  10. If the book needs a mylar cover (hardbacks) or kapco cover (paperbacks) then add covers
  11. Cover old spine label with plain white label if necessary
  12. Repair item if necessary
  13. Shelve!

Audiobooks

  1. Add barcode on back cover, in the upper right, underneath plastic cover. If there is no clear plastic cover then add a label protector over the barcode
  2. Add one barcode on the inside front cover of the Audiobook
  3. Write the barcode number and 'Red Oak Library' on each cd in the set, using acid free markers
  4. Make sure each CD has a sleeve inside the audiobook
  5. On each sleeve at the top write the barcode number and the number of cd's in the set
  6. Give item to staff member responsible for cataloging
  7. Once item has been cataloged, create and print spine labels
  8. Attach spine labels
  9. Attach relevant stickers for genre/new shelf/volume number if necessary
  10. Cover old spine label with plain white label if necessary
  11. Repair item if necessary
  12. Shelve!

DVDs

  1. Add barcode on back cover, in the upper right, underneath plastic cover. If there is no clear plastic cover then add a label protector over the barcode
  2. Place one barcode on back cover under jacket, place the second inside the case, above the DVD slot.
  3. Write the 'Red Oak Library' on each DVD in the set, using acid free markers
  4. Give item to staff member responsible for cataloging
  5. Once item has been cataloged, create and print spine labels
  6. Attach spine labels - be sure not to obscure the barcode with the DVD letters!
  7. Attach relevant stickers for genre/new shelf/volume number if necessary
  8. Cover old spine label with plain white label if necessary
  9. Repair item if necessary
  10. Shelve!

Adding Donations


Before you even start processing a donation for cataloging, be sure to check the donations guidelines to see if that item meets the criteria for adding to the collection!
